For collecting information for the Body Builder’s House Party and Good News Camp events

Under data protection legislation, Gordon and Penny Curley and the trustees of the Hampshire Regional Fellowship are the joint data controllers for information collected on leaders and campers applications. If you would like to contact us about the way your information is handled please contact Bryan Zillwood (Data Protection Trustee) at dataprotection@countieshrf.org.uk.

We are collecting this information so that we can:

  • process your application and manage the attendees;
  • contact you with further information about the event;
  • care for you or your child safely at the event;
  • make contact in case of an emergency;
  • ensure that photos or videos are only taken and used with consent;
  • claim Gift Aid on your leader’s donation (if applicable).

Data Protection legislation allows us to make use of the information, including limited medical details, that we regard to be in our legitimate interests in running this event. If you are unable to supply the information required then, sadly, we cannot accept your application.

We may also ask for your specific consent where we would like to keep in contact with you or use your information in other appropriate ways.

We collect this information using a service provided by our website hosting provider (ProPraxis Ltd). We have a legal agreement in place with ProPraxis to ensure your data is processed under EU General Data Protection Regulations.

The information you supply may be held as a securely filed paper copy or on computers, devices or cloud storage services which are password protected. Only the trustees, event leaders and ProPraxis will have access to this information.

The information that you provide will be held for three years after the event unless a safeguarding incident or concern is raised, in which case it will be held for 75 years. If your form included a Gift Aid declaration then your information will be held for six years after receipt of the donation. If you have ticked the box asking us to keep you informed about activities that we think might be of interest then we will retain your details for the sole purpose of notifying you of such activities. We will not pass on your information to any other people or organisations. You may ask to be removed from our contact list at any time.

You have the right at any time to ask to see the information that we hold about you. You can do this by submitting a request to our Data Protection Trustee. You also have the right to ask for any information which you believe to be incorrect to be rectified.

If you are concerned about the way your information is being handled please contact our Data Protection Trustee. If you are still unhappy you have the right to complain to the Information Commissioners Office.
