Terms and Conditions

For Body Builders House Party and Good News Camp applications

  1. Information About Us
    1. The Body Builders House Party and Good News Camp (“events”) are events run jointly by Gordon & Penny Curley and the trustees of the Hampshire Regional Fellowship (“we”, “us” and “our”). The Hampshire Regional Fellowship is a registered charity (charity number 264278).
    2. All leaders and volunteers are DBS checked and are required to comply with our Child Protection Policy.

  2. Booking and Payment
    1. Please read these terms and conditions (“terms”) carefully. When booking a place on an event for your child (“camper”) you agree to these terms.
    2. Applications must be submitted by the camper’s parent or legal guardian (“you”, “your”) using the online application form.
    3. Bookings will only be confirmed after receipt of a £10 non-returnable deposit or payment of the event fee in full.
    4. The balance of your fee must be paid at least two weeks before the start of the event. If you have not paid the balance two weeks before the start of the event then we may cancel your booking so that we can offer the place to another camper.
    5. If the application is submitted within two weeks of the start of the event then the full fee is required before the booking will be confirmed.
    6. We participate in SCA (Strong Customer Authentication) as required by law. This means that you may be requested to provide additional information such as a password, PIN, or code from your bank if you opt to pay online. This is conducted randomly at the request of your card issuer.
      We do not receive or handle any of this information, and all processing is conducted by our payment processor, PayPal. For more information on SCA, please contact your bank or card issuer.
    7. We reserve the right to refuse any application.
  3. Cancellation
    1. Please let us know as soon as possible if you wish to cancel your booking.
    2. The first £10 of your fees is a non-refundable deposit but, if you cancel your booking more than two weeks before the start of the event, we will refund any additional fees that you have paid.
    3. If you cancel your booking within two weeks of the start of the event you will be liable for the full fee.
    4. In the unlikely circumstances that we have to cancel an event, we will refund all fees paid but we do not accept liability for any consequential loss.
  4. What is Included?
    1. The price includes all meals and accommodation, activities and excursions. Please see the “Camps and Houseparties” page of the Counties Hampshire website for details about the programme and for a list of items that each camper should bring.
    2. Transport to and from the event is NOT included in the price. You should make your own arrangements to drop off the camper at the start of the event and collect the camper at the end of the event.
  5. Behaviour
    1. We expect the same standards of behaviour of campers that they are required to show at school. Please contact us if you would like a more detailed description of the event’s rules.
    2. We expect campers to participate in all aspects of the programme including the sessions and some duties.
    3. Our discipline policy is described in our Child Protection Policy. As a last resort, if a camper’s behaviour is incompatible with the general enjoyment and well-being of others or themselves, we may require you to take them home early and we may ban them from future events. Therefore you must provide details of an emergency contact who will be available to collect your camper during the event.
    4. Sickness
    5. In the event of your child being unwell at the start of the event, we adhere to current NHS guidelines for school attendance, which can be found here. Children with diarrhoea and/or vomiting must not be sent to the event until at least 48 hours after their symptoms have gone. If a child has a raised temperature, they too must not be sent until their symptoms have gone.
    6. If a camper becomes unwell during the event we may require you to take them home early. Therefore you must provide details of an emergency contact who will be available to collect your camper during the event.
    7. We regret that we cannot offer a refund if a child is unable to attend or leaves early due to ill health.
  6. Other Policies
    1. Please see our Privacy Notice for details of how we look after your information. You will be required to accept this privacy notice when you submit your application.
    2. Please see our Photography Policy for details of how we take and use photographs and video footage of our events. You will be able to choose whether you are willing for photographs and videos to be taken of your child when you submit your application.
